What to Do When You’re Overwhelmed: A Step-by-Step Reset for Life Admin

Hola and welcome back! Let’s be honest. Life gets busy. Messy. Loud. And “life admin”- all that behind-the-scenes adulting like emails, bills, scheduling, and errands - has a way of piling up while you’re just trying to make it through the day. If you’re sitting under a mountain of tasks and wondering how you got here, you’re not the only one. Everyone falls behind sometimes. The key is not to panic, but to reset with intention. Here’s how to get out of overwhelm and back into a rhythm that works.
Step 1: Brain Dump + Triage
Before you try to tackle anything, you’ve got to get it all out of your head. When your brain is juggling a million things, it creates a low-level sense of panic that makes it hard to focus on any one thing.
So start with a brain dump. Grab a notebook, open a document, or talk into a voice memo, whatever feels easiest, and list everything that’s swirling around in your mind. Don’t organize it yet. Don’t filter it. Just let it all pour out.
Once it’s out of your head and on paper (or screen), it’s time to triage. Go through the list and sort it into categories:
Urgent: Needs to be handled within the next day or two.
Important but not urgent: Should be done soon, but doesn’t have a tight deadline.
Can be delegated: Anything someone else could help with or fully take over.
Can wait or be deleted: Things that felt urgent in your head, but now that you see them written down, can actually be let go or delayed.
You don’t need to do everything. You just need to know what matters most right now.
Step 2: Pick the “First Domino”
Now that you’ve got some clarity, it’s time to take action - but not on everything. The goal isn’t to conquer the whole list. The goal is to build momentum. Start by picking what I like to call your first domino.
This is the one task that will either knock out other tasks as a result, or give you a little relief so you can keep going. It’s usually something small but impactful.
Examples:
That email you’ve been dreading
A phone call that’s been hanging over your head
Paying a bill before it becomes a problem
Cleaning up one surface in your house that makes everything feel messy
Don’t wait until you “feel ready.” Just pick the next right thing and do it. Movement creates motivation, not the other way around.
Step 3: Create a Mini Plan (3-Day Reset)
Once you’ve knocked out that first domino, you’re in motion. Now let’s keep things simple and doable with a 3-Day Reset Plan.
You’re not trying to fix your whole life in three days. You’re just trying to clear a little space, lower the noise, and feel a bit more in control. Use the next three days to focus on three key categories:
Home: What one or two tasks would make your space feel calmer or more functional? Think small: clear the kitchen counter, catch up on laundry, take out the trash that’s bugging you.
Communication: What responses will reduce mental clutter? Send a quick “thanks for your patience” reply. Flag anything that truly needs a thoughtful response later.
You: What will help you feel like a human again? Prioritize sleep. Move your body. Drink water. Take a walk without your phone. Your brain will function better when your body is supported.
Write your mini plan down or set a few reminders in your phone. Don’t overload it. The point is to finish this reset, not build another overwhelming list.
Step 4: Give Yourself Grace
Let’s just say this out loud: being behind doesn’t mean you’re lazy or disorganized. It means you’re human.
Life admin is never-ending. There’s no finish line, and there’s no magical day where everything stays caught up forever. So instead of beating yourself up for what you didn’t do, acknowledge that you’re doing something about it now - and that counts.
Maybe your inbox is overflowing. Maybe you missed a deadline. Maybe you’re living out of a laundry basket and pretending your voicemail box isn’t full. All of that is normal. All of that can be cleaned up. But it starts with being kind to yourself about where you are right now.
You’re not behind in life. You’re just ready for a reset - and that is a sign of progress, not failure.
Progress > Perfection
You don’t need a perfect system. You don’t need a flawless routine. You just need to take one step forward.
When life piles up, the answer isn’t to hustle harder. It’s to slow down, make a plan, and work through it one step at a time. Whether your reset takes three days, three weeks, or a few rounds of trial and error, that’s okay. You’re showing up. You’re sorting things out. That’s progress.
So brain dump the chaos. Knock out one little domino. Make your three-day plan. And then keep going, even if it’s slow. Especially if it’s slow. Because the people who get out of overwhelm aren’t the ones who sprint. They’re the ones who just keep moving.
What is your first domino? What area of your life needs your grace?
